How the calculation works
Available minutes = staff × working days × (daily hours × 60 − daily break). Appointment minutes = appointments × average duration. Occupancy = appointment minutes ÷ available minutes × 100.
Example: 3 staff working 5 days, 8 hours per day with a 60-minute break, provide 105 staff-hours. Ninety 45-minute appointments use 67.5 hours: about 64.3% occupancy, with a theoretical 50 additional appointments.
Interpret capacity carefully
Use completed appointments for past periods and planned appointments for future periods. Do not mix them. This model assumes equal working hours and one staff member per appointment. Calculate different shifts separately. Shared rooms, equipment, preparation and fragmented gaps can reduce real bookable capacity. Occupancy does not measure profit or guarantee revenue.
