Terms of Use

These terms describe the core rules for using the Ordiva web app, admin panel, booking pages, and related services.

1. Scope of service

Ordiva is a SaaS platform providing appointment management, customer records, staff tracking, finance summaries, packages, subscriptions, reminders, support, and public booking pages for businesses.

2. Account and authorization responsibility

  • Users are responsible for the accuracy, security, and protection of their account information against unauthorized access.
  • Business owner, staff, and support roles may access only the data permitted by their assigned permissions.
  • Suspicious access, account compromise, or incorrect authorization should be reported to Ordiva support.

3. Business and customer data

Business owners act as data controllers for personal data collected from their customers or added to the Ordiva panel. Providing notices, managing consent or other legal bases, data accuracy, retention periods, and deletion requests is the responsibility of the business owner. Ordiva does not use this customer data for independent marketing or commercial purposes; it processes the data as an infrastructure and technical service provider for service delivery, security, technical operation, and contract performance.

4. Acceptable use

  • The service may not be used for unlawful, misleading, harmful, harassing, or rights-infringing purposes.
  • Unauthorized access attempts, reverse engineering, excessive traffic, spam, malicious automation, or attempts to bypass security controls are prohibited.
  • Appointment, message, and notification features must be used according to reasonable expectations of recipients and applicable communication permissions.

5. Fees and plans

Plan limits, trials, pricing, cancellation, and renewal terms are determined by the current plan information shown in the app. Payment provider and mobile store terms may also apply.

6. Appointment cancellation, no-shows, and refunds

Ordiva is the technical platform that helps businesses manage booking rules. Cancellation windows, no-show fees, prepayments, deposits, refunds, or rescheduling terms applied to customers are set by the relevant business and should be clearly disclosed to customers. Ordiva is not a party to service quality, refund, consumer, or payment disputes between a business and its customers.

7. Payment and collection responsibility

Where in-platform payment, prepayment, or external payment links are used, the payment provider rules and transaction limits may also apply. Taxes, invoices, receipts, service fees, commissions, refunds, and chargebacks must be handled by the business in compliance with applicable law.

8. Interruptions and changes

Ordiva may experience temporary interruptions due to maintenance, security, third-party service outages, or force majeure. Product features may change for security, performance, and business needs.

9. Data loss and backup responsibility

Ordiva seeks to apply reasonable technical and administrative safeguards; however, except where mandatory law provides otherwise, it does not accept liability for data loss, corruption, interruption, or indirect damages caused by the internet, cloud infrastructure, third-party services, user error, unauthorized access, misuse, force majeure, or incorrect actions by the business. Business owners are responsible for separately backing up records they consider critical for their operations and legal duties.

10. Intellectual property

The Ordiva brand, software, designs, interfaces, and documentation belong to Potensas Bilişim Teknolojileri Anonim Şirketi or its licensors. Users retain rights in their own business, customer, and content data.

11. Limitation of liability

Ordiva is not responsible for the quality of services that businesses provide to their customers, appointment attendance, payment collection, tax obligations, or internal business decisions. Mandatory legal provisions are reserved.

12. Suspension and termination

Access may be temporarily restricted or terminated due to account security, payment disputes, unlawful use, or breach of these terms. Data export and retention are handled according to the plan and applicable law.
