Managing cancellations and empty chairs in a barbershop

Calculations and scenarios are illustrative.

Decide how much capacity to keep for walk-ins

An online barber booking system does not mean reserving every chair for the entire day. Record walk-in demand for a week, separating morning, afternoon and evening. A morning discount will not necessarily solve the problem of an overloaded evening schedule.

Add walk-ins to the calendar too, so online availability reflects work already happening in the shop. Before promising a waiting time, check the current service’s finish, the barber’s break and the next booking.

Calculate capacity in staff minutes, not chairs

Suppose two barbers each have 420 working minutes after breaks. Total capacity is 840 staff-minutes. If completed services use 630 minutes, actual utilisation is 630 / 840 × 100 = 75%. This is an illustrative calculation, not a customer result.

Four chairs do not allow two barbers to deliver four simultaneous services. Give a haircut-and-beard package its own realistic duration. A 45-minute appointment cannot fit a 30-minute gap without affecting the next customer.

Follow a clear process when a customer cancels

Record the cancellation in the calendar first; reading the message alone does not release the slot. Check the length of the gap and which services fit. You can then contact a customer who requested an earlier appointment and whose service fits that opening.

For example: “A haircut appointment has become available today at 4 pm. Reply if you would like us to confirm it for you.” Do not promise the same appointment to several customers before receiving confirmation. This is a sample message, not a claim of automatic sending.

Review cancellations and recovered time separately

Distinguish cancellations from no-shows. An appointment cancelled early and filled again has a different impact from an unexplained empty slot. Record the minutes released and how many were used again.

In Ordiva, review service durations, staff calendars and customer history together. Start by making promised times reliable and cancellations visible; filling every minute should not come at the expense of an achievable schedule.

Implementation checklist

  • Set separate durations for haircuts, beard trims and combined services.
  • Record walk-ins in the calendar.
  • Distinguish cancellations from no-shows.
  • Measure utilisation using completed service minutes.
