Calculations and scenarios are illustrative.
Separate package sales, payments and session use
Selling a package does not mean every session has been delivered. Track the package scope, total entitlement, used sessions and remaining sessions separately. Payment records should distinguish collected and outstanding amounts. Counting the package price at purchase and again at every visit overstates sales.
For a six-session package with two completed visits, four sessions remain. Creating the next appointment does not complete that session. Define cancellation, no-show and entitlement-use rules clearly in advance.
Use a simple session record
Include the customer, package, appointment date, staff member, appointment status and remaining entitlement. If a visit is mistakenly marked complete, verify the package balance as well as correcting the appointment.
For example, a customer completes the first two of six sessions and postpones the third. If the postponed appointment has not consumed a session, the balance should remain four. Record the new date without counting the same visit twice.
Check the specialist, room and equipment together
An available employee alone does not make a beauty appointment possible. The room and any shared equipment must also be free. Include preparation and cleaning in your plan. Test whether two employees sharing the same device can actually accept simultaneous bookings.
This guide covers administration. Treatment suitability, intervals and other professional decisions remain with the qualified practitioner; a package calendar does not replace that assessment.
Discuss renewal using the real balance
Show a customer their remaining sessions and current bookings before suggesting a new package. Explain the scope, validity conditions and price without overlooking unused entitlement.
In Ordiva, test a package sale, completed session and cancellation to check the consistency of the workflow. Close the day by comparing completed visits, remaining sessions and payments rather than treating them as one figure.
Implementation checklist
- Do not count the package price as a new sale at every visit.
- Check remaining entitlement after postponement.
- Review shared rooms and devices together.
- Tell the customer how many sessions remain.
