Planning job duration and vehicle handover in a detailing business

Coordinate vehicle intake, work bays, service duration and handover. A practical capacity example for longer detailing jobs.

Calculations and scenarios are illustrative.

Distinguish vehicle intake from a delivery promise

The time a customer drops off a vehicle is not necessarily when work begins or a promise of same-day completion. Interior cleaning, paint correction and protective treatments require different preparation. Confirm the scope at intake and discuss revised timing if the vehicle needs extra work.

Use clear service names. “Complete care” can leave expectations uncertain. Explain included work and how additional requests will be assessed to make handover conversations more straightforward.

Calculate how long the bay remains occupied

A sample job with 30 minutes of intake and preparation, 180 of application, 60 of waiting that occupies the bay and 30 of final checks uses 300 bay-minutes. The employee’s active time may be shorter, but the next vehicle still cannot use that bay for five hours.

These are planning examples, not application instructions. Follow product instructions and actual job requirements for working and waiting times. Use a supported workflow for multi-day jobs rather than displaying unavailable capacity as bookable.

Check staff and shared resources together

Two employees do not necessarily allow two vehicles to pass through every stage at once. A shared wash area, enclosed bay or machine can limit throughput. Check which resource will be occupied and for how long when accepting a booking.

If a job overruns, review handover time, staff allocation and customer communication as well as the next start time. Check progress during the day rather than discovering the delay at closing.

Reconcile three lists at closing

Separate delivered vehicles, work in progress and outstanding payments. A booked vehicle is not yet a completed sale. If the scope changed, compare the agreed amount with the actual payment.

Configure Ordiva’s services, customers, staff and resources around this workflow. Test long appointments, rescheduling and handover; do not infer damage-inspection or technical job-card capabilities simply from the presence of a booking calendar.

Implementation checklist

  • Explain intake and estimated handover separately.
  • Include waiting time that occupies a bay.
  • Account for shared equipment.
  • Check delivery, completion and payment separately.
