Calculations and scenarios are illustrative.

Keep enquiries separate from confirmed enrolment

Someone requesting information, someone booking a trial and someone enrolling are at different stages. Counting all of them as registered students overstates capacity needs and expected revenue. Define the stages you want to track first.

Suppose a month has 20 trial bookings, 15 attended trials and six enrolments. Booking-to-enrolment conversion is 6 / 20 = 30%; attended-trial-to-enrolment conversion is 6 / 15 = 40%. State the denominator clearly. These are illustrative figures, not promised results.

Match teacher and classroom availability

Before placing a trial in a free slot, check that the teacher can teach the subject and that the room is available. Include preparation time when different classes share a room.

Private and group lessons have different capacity rules. Test that a full class does not accept extra participants and that cancellations update availability correctly. Do not infer those behaviours from an empty calendar alone.

Use concrete details in the follow-up conversation

Clarify the subject, suitable days and enrolment conditions with the student or parent. Do not mark an unattended trial as completed. When someone requests another date, create the new booking while keeping the previous status accurate.

Evaluate Ordiva for services, teachers, resources and customer scheduling. Do not assume it provides a complete student information system, examination grades or a learning platform. Review trial attendance and confirmed enrolments separately to locate the issue at the enquiry, attendance or enrolment stage.

Implementation checklist

  • Separate enquiry, trial and enrolment stages.
  • Check teacher subject and room availability.
  • State the denominator in conversion calculations.
