Calculations and scenarios are illustrative.

Check two kinds of availability

A free dentist alone does not make a booking possible. The treatment unit and supporting team also need to be available. Keep leave and unavailable units up to date, and verify displayed availability with a test booking.

Do not force initial examinations and follow-up procedures into identical durations. The qualified clinical team should set procedure time. This guide addresses appointment administration, not treatment selection or clinical protocols.

Make preparation and overrun time visible

If a sample appointment lasts 40 minutes and preparation and reset take 20, the unit is occupied for an hour. Removing preparation time from the plan to increase apparent capacity can delay the next visit. Set actual durations according to the clinic’s working conditions.

If an ongoing procedure runs over, agree the message and alternative time for the next patient with the team. Moving the booking on screen does not mean the communication has happened.

Close the day using administrative records

Separate completed appointments, postponed visits and people awaiting a new date. The clinical team determines follow-up requirements; the calendar should reflect those decisions. Use only necessary appointment information in messages.

Test Ordiva’s calendar and resource planning for administrative fit. Do not assume dental charting, clinical records or specialist health-system integrations are included. Assess operational scenarios and required clinical systems separately when choosing your software.

Implementation checklist

  • Check dentist and treatment-unit availability together.
  • Include preparation time.
  • Confirm delays with the team and affected person.
  • Assess clinical records separately from scheduling.
