Calculations and scenarios are illustrative.

Allow realistic time between consultations

Back-to-back appointments based only on consultation length may leave no room for preparation or administration. Define intervals that fit your practice. A 50-minute consultation and a 10-minute break form a one-hour block, for example; these are illustrative durations, not professional standards.

Label online and in-person services clearly. When the format changes, update the address or meeting details as well. The appointment time may stay the same while preparation requirements change.

Explain the cancellation and rescheduling process

Make clear which channel to use and how changes are confirmed. Receiving a message does not automatically update the calendar. Check both the old record and the replacement date to avoid leaving two active bookings.

This guide does not provide a contractual cancellation policy. Set appropriate conditions for your practice and communicate them clearly. In daily scheduling, distinguish cancelled consultations from those that took place.

Keep reminders focused on administrative details

A sample reminder could read: “Your consultation is scheduled for Tuesday at 2 pm. Please contact us here if you need to change it.” Consultation content is not needed to confirm the appointment.

Evaluate Ordiva’s calendar, working hours and customer records against your administrative needs. Do not assume clinical notes, video-consultation infrastructure or professional decision support are included. Review only the completion, cancellation and replacement-date information needed for the weekly operational check.

Implementation checklist

  • Plan preparation time between consultations.
  • Separate online and in-person services.
  • Reconcile old bookings and replacement dates.
  • Keep consultation content out of reminders.
