Calculations and scenarios are illustrative.

Create separate initial and follow-up services

An initial consultation and a follow-up may require different durations. Combining them can either waste time on shorter visits or rush longer ones. If you offer online consultations, make the service name and meeting method clear.

A 60-minute initial consultation and a 30-minute follow-up are illustrative scheduling examples, not clinical recommendations. Set durations and preparation time according to your own working practice.

Agree the follow-up timing with the client

The professional decision about when to meet again should not be delegated to calendar software. Agree the interval at the end of the consultation, then choose an available date. Review the last completed visit alongside future bookings when checking follow-up needs.

Leaving a cancelled appointment marked complete makes it appear the client attended recently. Check the status and replacement booking whenever a date changes, and avoid creating duplicate customer profiles.

Separate administrative records from health information

A reminder may only need the date, time, consultation format and contact details. Including measurements, diagnoses or private consultation content does not improve routine appointment confirmation. Give staff access to information appropriate to their work.

This is an appointment-operations guide, not nutrition treatment, clinical recordkeeping or legal compliance advice. Do not assume Ordiva’s customer and appointment screens replace a complete clinical records system.

Review the week by appointment type

Using the sample durations above, three initial consultations and four follow-ups require 300 consultation minutes. Preparation and breaks are additional. A count of seven appointments alone does not describe the workload.

Review initial consultations, completed follow-ups and cancellations awaiting a new date separately. Keep Ordiva’s service definitions and client history current, then test the booking link as a client to verify the right services and times appear.

Implementation checklist

  • Separate initial and follow-up durations.
  • Define how online meeting details are shared.
  • Record cancellation and completion accurately.
  • Use only necessary administrative details in reminders.
