Calculations and scenarios are illustrative.

Do not assign every grooming job the same duration

Size, coat condition and requested services can affect grooming time. Accepting every booking at a fixed duration can delay collection on busy days. Where more information is needed, confirm the scope before committing to a time.

A sample service with 90 minutes of work and 15 minutes of preparation and reset needs 105 minutes. This illustrates capacity planning, not a grooming standard; the qualified team should determine the real duration.

Explain drop-off and collection separately

State the drop-off time and estimated collection time separately. Consider the space occupied by animals dropped off early or collected late. Staff availability does not mean safe usable space is also available.

If the scope changes during the service, inform the customer and update the collection estimate. Check that communication reflects the calendar change; extending a booking block alone is not enough.

Find the right history for the return visit

When an owner has several animals, keep a record structure that identifies which service belonged to which animal. Previous duration can help planning, but do not assume every visit will have the same conditions.

Test Ordiva’s services, staff, resources and customer records against this flow. Focus on administrative service history rather than clinical information or veterinary assessment. Compare planned and actual times weekly and update service definitions that repeatedly overrun.

Implementation checklist

  • Identify services that need pre-visit information.
  • Confirm collection time separately.
  • Account for animals waiting on site.
  • Distinguish different animals with the same owner.
