Calculations and scenarios are illustrative.

Separate administrative timing from clinical decisions

Initial assessments and follow-up sessions may need different calendar durations. Define services accordingly. Session number, frequency and treatment are professional decisions; a free time suggested by software does not replace that assessment.

A 45-minute consultation plus 15 minutes for preparation and records requires a one-hour block. Five such bookings fit a five-hour window. This is a calendar example, not a treatment protocol.

Verify practitioner and room availability together

A free room does not make an appointment possible when the practitioner is away. Likewise, a free practitioner may need a room already reserved for another session. Check service, staff and resource assignments together.

When rescheduling, verify the same resources are available at the new time. Review every visit in a planned sequence; changing one date does not guarantee the remaining appointments still fit.

Keep cancelled sessions visible for follow-up

Separate cancelled and completed sessions. Keep cancellations without a replacement date visible for administrative follow-up and offer a suitable time through the agreed contact channel. Avoid unnecessary health details in reminder messages.

Ordiva’s appointment, customer and resource screens can support evaluation of your administrative workflow. Do not assume they provide a clinical records or diagnostic system. Review completed sessions, cancellations and future reservations separately each week to understand workload accurately.

Implementation checklist

  • Separate initial assessment and follow-up durations.
  • Include preparation and recordkeeping time.
  • Recheck room and practitioner when rescheduling.
  • Do not mark cancelled sessions as completed.
