Calculations and scenarios are illustrative.

Separate private sessions from group classes

One-to-one capacity usually depends on one trainer and one client. Group classes have several participants at the same time. Do not give both formats the same service definition or capacity assumption. Define entitlement use separately for partner sessions.

If a trainer works at two locations, reserve travel time. A session ending at noon in one facility cannot be followed by another starting at noon elsewhere, even if the digital calendar appears free.

Change package balances only for the correct events

In an eight-session package, three completed sessions leave five credits. Booking the fourth session does not mean four have been completed. Whether late cancellation or non-attendance consumes a credit should follow a rule the client already understands.

Compare remaining credits and payment status at the end of the week. A package can be paid in full while sessions remain undelivered. Do not report package sales and completed sessions as the same metric.

Evaluate capacity by time of day

Twenty available 60-minute sessions give a trainer 1,200 weekly minutes. Fifteen completed sessions represent 75% utilisation in this example, excluding preparation and travel. Use minutes when session durations differ.

Evenings may be full while daytime slots remain empty. Identify real availability before offering a blanket promotion. Propose an alternative time to a suitable client rather than adding sessions without checking their schedule.

Test the workflow in Ordiva

Define private-session services, trainer hours and the space used. Test a sample customer’s package, booking and completed session. After cancellation, check that the calendar and remaining entitlement are consistent.

Use growth-assistant suggestions as a starting point for review. Exercise suitability and programme design require professional judgement; scheduling software does not make those decisions. Agree the next suitable appointment with the client.

Implementation checklist

  • Separate one-to-one, partner and group services.
  • Reserve travel time between facilities.
  • Review package entitlement and payments separately.
  • Compare peak and off-peak utilisation.
