Managing class capacity in a Pilates or yoga studio

Plan reformers, rooms and instructors together. A practical workflow to avoid conflicts between group classes and private sessions.

Calculations and scenarios are illustrative.

Set capacity for the actual class format

Six reformers do not mean every class should have six participants. Instructor allocation and class format may require a smaller group. Define mat and reformer sessions separately and coordinate them if they share a room.

Four six-person classes provide 24 attendance places. Eighteen attended places equal 75% utilisation in this example. One member attending two classes counts as two attendances but one unique member; keep these measures separate.

Check whether a private session blocks shared space

A private session alongside a class may use the same instructor, reformer or room. Recalculate capacity rather than assuming an available instructor means all resources are free. Include setup and room-reset time as well as class duration.

Test the booking system with sample registrations. Verify that a full class cannot accept excess bookings and that a cancellation releases capacity correctly before sharing the link widely.

Reconcile membership credits with attendance

Purchasing a package, reserving a place and attending are separate events. Compare completed classes with used credits each week. A postponed class must not consume entitlement twice. Explain late-cancellation rules before registration.

Configure Ordiva’s services, resources, instructors and customer records around your studio. Review attendance by day and time rather than relying on total membership alone. This helps identify which classes need rescheduling and where additional capacity would actually be useful.

Implementation checklist

  • Separate mat and reformer capacities.
  • Check shared resources for private sessions.
  • Test full-class and cancellation scenarios.
  • Count reservations and attendance separately.
